Privacy Policy

Introduction

PTE Nepal ("we", "our", or "us") is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website and services at ptenepal.com.

Information We Collect

Personal Information

  • Name and email address (via Google Sign-In)
  • Phone number (if provided)
  • Target PTE score and exam date
  • Your PTE ID (Pearson test-taker ID), if you choose to give it
  • Your Google profile photo, shown in the website menu while you are signed in. It loads from Google; we do not store a copy

Usage Information

  • Practice question responses and answers
  • Course enrollment details
  • Browser type and device information
  • IP address and general location
  • Your country: the first time you use your account, we look up the country your IP address is in and store it once as your account’s country. After that we do not change it

Career Applications

If you apply for a role via our Careers page, we collect your name, email address, phone number, the position you’re interested in, your PTE exam history (if any), and any message you add — plus the resume and, if provided, cover letter file you upload.

These documents are stored privately and are visible only to PTE Nepal admin staff reviewing applications — they are never public, never indexed by search engines, and never shared with any third party. We keep an application on file for up to 12 months so we can consider you for future openings; you can ask us to delete it sooner at any time (see Contact Us below).

AI Assistant Conversations

There are now two question tools on this site, and they handle your question differently. The difference matters, so it is spelled out rather than summarised.

Ask (/ask) searches our own published guides. It does not write answers — it finds the passage of an article that matches your question and quotes it back to you with a link to the source. Where it does use a language model, that model runs on our own server. Questions asked here are not sent to any outside AI company.

Guru Aama (/search-ai) works differently. It writes its answers rather than quoting them. To generate an answer, Guru Aama sends the text of your question to a third-party AI processing provider (Google), outside Nepal. We send the question text and nothing else — not your name, email, account or IP address — and the provider processes it under its own terms and privacy policy. Because the answer is generated rather than quoted, it can be wrong; every answer carries a warning saying so, and shows the source passage it was built from.

Guru Aama answers from a fixed set of sources we choose: official Pearson and IELTS pages, official government immigration pages, and our own published guides. It does not browse the open web.

We keep a record of every question asked, and we keep it indefinitely.

For each question we store:

  • The text of your question, exactly as you typed it
  • Which guides were returned and how closely they matched
  • Whether we were able to answer, and how long it took
  • Whether the AI accuracy warning was shown to you
  • An anonymous conversation identifier, stored in your own browser’s local storage so your follow-up questions stay attached to the same conversation. It is a random value, it is not linked to you unless you are signed in, and clearing your browser data removes it

We do not store your IP address with these conversations. We keep them so we can see what students actually need help with and improve the guides, and so that a wrong or unhelpful answer can be traced back to the passage that caused it.

There is no automatic deletion schedule for these records. If you want your conversations removed, email cs@ptenepal.com and we will delete them. Deleting your account also deletes the conversations you had while signed in.

Please do not type passport numbers, visa application details or other sensitive personal information into either question box. Anything you type is stored as written, and on Guru Aama it is also transmitted to that provider. If you need advice on your own case, message us directly instead — that always needs a person.

The PTE Sprint App

PTE Sprint is our Android app, published on Google Play by Lattice Nepal. It uses the same PTE Nepal account as this website, and this policy covers both.

You sign in with Google. Sign-in runs on Google Firebase Authentication, in our Firebase project pte-nepal, the same one this website uses. From your Google account we receive your name, email address and a Firebase user ID. Firebase also keeps the link to your Google profile photo; the app does not use it and we do not store a copy. We never see your Google password.

Your details. Under Me › Edit details you can fill in the same student profile as on the website dashboard: your WhatsApp number, country and city, which PTE test you are taking, your target score and exam date, study hours per week, any previous PTE score, the sections you find weak or strong, and notes for your coach. Only your name is required. Your coach (Smriti Simkhada or another PTE Nepal instructor) and the staff who run your enrolment use them to plan your coaching; they are not shared outside PTE Nepal. Your email is shown there but comes from your Google account and cannot be changed in the app.

The app also uses Google Firebase App Check, a security service that checks that requests to our server come from our genuine app rather than a modified copy. Google handles this data under its own terms.

The app also stores the data described in the sections below: chat messages, push notification tokens, questions you ask Guru Aama, and your drill answers. Everything else about your account works as described elsewhere on this page.

ptesprint.com Pre-Registration

ptesprint.com is our marketing site for the PTE Sprint app, also run by PTE Nepal. Its early-access form collects your email address and, if you give it, your name. No account or sign-in is involved.

ptesprint.com also runs Google Analytics (GA4), separate from the Firebase Analytics the app itself uses. This measures visits to the site — pages viewed, browser and device information, and approximate location from your IP address — and is not tied to the early-access form unless you submit it.

The form has an explicit checkbox asking whether we may email you when the app launches and about PTE Nepal / PTE Sprint updates. We record whether you checked it and when. If you leave it unchecked, we still keep your address to know you pre-registered, but we do not email you. Email sending from this list is currently paused; when it resumes, every message carries an unsubscribe link.

Ask us to remove your pre-registration at any time at hello@ptesprint.com.

Chat With Our Team (PTE Sprint App)

The app lets you message our team. Chat is an app feature; it is not available on this website. A person reads and answers these messages. This is different from Guru Aama and Ask, which search our guides.

You need to sign in to send a message, and you are asked to accept the chat rules in our Terms of Service first. We record that you accepted them, which version, and when, so we can ask you to accept again if we change them. For every message we store the text, the time it was sent, who sent it, and whether it has been read. Chat is text only: no photos, files or voice notes. If you report a message, we store your reason and any detail you add.

Who can read your messages

  • Support staff see threads in the general support queue and threads assigned to them.
  • Teachers see only the threads assigned to them, never another student’s.
  • Moderators cannot open your conversations. They see a single message only after it is reported, so they can review it.
  • Admins can see every thread.

Staff see your name, email and country in a thread. Your phone number is never shown in chat.

What name you see. A teacher’s reply shows their name and role, such as “Smriti Simkhada · Teacher”. A support or admin reply shows as “Customer Support” rather than the individual’s name. PTE Nepal staff can always see internally which team member sent any given reply.

Retention. You can reopen a closed thread by sending another message within 30 days; after that you start a new one. We will delete closed threads 12 months after they close. That clean-up is not automatic yet, so until it is, closed threads are kept and you can ask cs@ptenepal.com to delete yours sooner. Deleting your account deletes all your threads straight away.

Report and block. You can report any message from our team. Every report is reviewed by a person, and a message we remove shows as “Message removed” in your thread while we keep the original on our side for that review. You can also block a thread, which closes it and stops our team sending messages in it; you can unblock it later. Abuse in chat, from a student or from staff, can get an account blocked, and a blocked account is signed out straight away. If a teacher leaves, their past replies stay in your thread under the name they used at the time. Support and admin replies are unaffected by staff changes, since they never carried an individual’s name.

Push Notifications (PTE Sprint App)

When you sign in to the app, it registers your device with Google Firebase Cloud Messaging and sends us a device token. This happens whether or not you have allowed notifications. We store that token, the platform (Android), whether you have push switched on, and when the device was last seen. Notifications only appear on your phone if you have allowed them, and we use the token for nothing else. The token is removed when you sign out or delete your account, or when Google tells us it no longer works.

A chat notification says only that there is a new reply. It never shows the message text, so nothing private appears on your lock screen.

Weekly prediction push and weekly prediction email are separate choices. Unsubscribing from the email does not stop the push, and turning off the push does not stop the email. You control push in your phone’s notification settings for PTE Sprint (an on/off switch in the app’s Me tab is coming); you control email as described under Email Notifications below.

App Analytics (PTE Sprint App)

The app uses Firebase Analytics to understand how PTE Sprint is used. This assigns your device a Firebase app-instance ID and records a fixed set of in-app usage events — for example, opening a screen or tapping a button — with no personal details attached: no email, name, chat messages, or account ID travels with these events.

Firebase Analytics also records the Google Play install referrer: which store link, if any, led to the install. If you arrived from one of our links, this tells us which channel it was.

The app does not collect or use an advertising ID, and this data is never used for ad personalisation. Google Firebase is the processor for this analytics data. Event-level data is kept for 2 months. Data tied to the app-instance ID is kept for 14 months, and that period restarts whenever the app is used again.

Guru Aama in the App

In the app, Guru Aama is retrieval-only. It uses the same search as Ask on this website: it finds the passage in our published guides that matches your question and shows it to you with a link to the source. It does not write its own answers, and your question is processed on our own server, not sent to an outside AI company.

We log each question and answer the same way as described under AI Assistant Conversations above, including whether the accuracy warning was shown to you. You can report any answer from the app; a report stores your reason, any detail you add, and, if you are signed in, your account. Deleting your account deletes your signed-in conversations.

Drills in the App

Signed-in users can practise free collocation and grammar drills. For each answer we store which item you answered, the option you chose, whether it was right, how long you took, the day, and the practice points (XP) it earned. We keep this until you delete your account, and deleting your account deletes it.

Drills take no typed answers: every answer is a tap. If you report a drill item, we receive your reason, any detail you choose to add, and your account, and our moderators review it.

The app saves drill packs and your drill progress on your phone so you can practise offline. That copy is cleared when you sign out or delete your account. Drills add no new analytics events: the App Analytics section above is unchanged.

How We Use Your Information

  • To provide and maintain our PTE preparation services
  • To personalize your learning experience
  • To communicate with you about courses and updates
  • To add you to relevant WhatsApp study groups
  • To process course enrollments and payments
  • To improve our services based on feedback and usage patterns

Data Security

We implement appropriate technical and organizational measures to protect your personal data. This includes using Firebase Authentication for secure sign-in, encrypted data transmission (HTTPS), and secure database storage. However, no method of transmission over the Internet is 100% secure.

Data Sharing

We do not sell, trade, or rent your personal information to third parties. We may share your information only in the following cases:

  • With your consent
  • To comply with legal obligations
  • With service providers who help us run the website and the PTE Sprint app, and only for that:
    • Google: Firebase Authentication and Google Sign-In (your sign-in), Firebase Hosting (serves this website), and Google Calendar and Google Meet for 1-on-1 students: we share your name and email address to send your class invitations from our calendar, and your classes are held on Google Meet. Meet transcribes each class and Gemini writes a summary of it; both are stored in our Google Drive and seen only by your teacher and us, to track your progress. Tell your teacher at the start of a class if you would rather it is not transcribed
    • Cloudflare: the network and security layer in front of our API. It sees your IP address when your browser or the app connects
    • Oracle Cloud: hosts our API and database
    • Amazon SES: sends our emails to your address
When you pay a fee, you pay us directly by eSewa, Khalti, Wise or bank transfer. That service handles your payment under its own terms; we do not send it your data.
  • A third-party AI processing provider (Google) — when you ask Guru Aama a question, the text of that question is transmitted outside Nepal to that provider so an answer can be generated. Only the question text is sent. This does not apply to the /ask tool, whose processing stays on our own server

Deleting Your Account

You can delete your account yourself, at any time, from the account deletion page (sign in with Google, then confirm) or from the Me tab in the PTE Sprint app. It takes effect straight away and cannot be undone. If you can no longer sign in, email us from your account’s address and we will do it for you within 30 days:

cs@ptenepal.com

Deleted: your sign-in account and profile, your device push tokens, your chat threads and every message in them, your drill answers, progress and XP, reports you filed (including drill item reports), your signed-in Guru Aama and Ask conversations, questions you sent our team, your prediction email subscription and its delivery history, and any job application with its files.

Kept but anonymised: posts and answers you published in the practice community stay and show as “Deleted user”. Enrolment and contact form submissions stay with your name, email, phone and message removed. Coaching records stay with your name, contact details, Pearson test ID and notes cleared; scores and dates are kept because the Coach-Until-Target guarantee is checked against them.

Kept so an opt-out survives: if you had unsubscribed from our emails, we keep a one-way hash of your address, not the address itself, so we never email it again.

Staff accounts: our internal audit log keeps the actions a staff member took, with their identity replaced by an opaque ID and the IP address removed. We also keep a record that each deletion happened, with no name or email in it.

Email Notifications

If you have an account with us, or you subscribed to the weekly prediction file, we email you when a new PTE prediction batch is published — roughly once a week.

  • What we use: your email address, your first name if you gave one, and your timezone or country — the last of these only so the email arrives during your day rather than in the middle of your night.
  • How to stop: every email carries an unsubscribe link, and most email apps also show their own one-click unsubscribe button. You can also turn it off any time from your dashboard. Unsubscribing stops all prediction emails, whether you signed up through an account or the newsletter form.
  • What we never do: we do not sell, rent or share your email address with anyone else, and we do not send it to third-party advertisers.
  • Delivery data we keep: whether a message was sent, delivered, bounced, or reported as spam. We keep this to stop emailing addresses that bounce or complain — not to track reading.

We also send transactional email — a welcome message when you create an account, and a confirmation when you submit an enrolment. These come from cs@ptenepal.com and are a direct response to something you did, so they carry no unsubscribe link. Turning off prediction emails does not stop them; deleting your account does.

Sending is handled by Amazon Web Services (Amazon SES), which processes your email address solely to deliver the message.

Your Rights

You have the following rights regarding your personal data:

  • Access and update your profile information via the Dashboard
  • Request a copy of your data
  • Request deletion of your account
  • Opt out of marketing communications
